General

Do my staff need a special scanner?

No. The scanner works in the browser on any phone or laptop with a camera. If a QR code is damaged, staff can type the 6-character code instead.

Can guests register themselves?

Yes. Every event has a public registration link and a QR poster. Guests fill a short form on their phone and get their entry pass immediately.

Which email provider do I need?

Any SMTP account works, for example Gmail, Outlook, Zoho or your own domain. Emails are sent from your address with your name on them.

Does it support online and hybrid events?

Yes. Online events include the meeting link in every email. Hybrid events get both the QR pass and the meeting link.

Can I bring in guests from another system?

Yes. Import CSV files with automatic column matching, or push registrations in real time from your payment or landing page through the API.

Pricing & billing

Is there a free plan?

Plans and limits are shown above. When a free plan is offered you can register without paying and upgrade at any time.

Can I pay monthly or yearly?

Yes. Plans can be paid monthly or yearly through Razorpay with cards, UPI, net banking and wallets, and yearly plans usually cost less.

Can I turn on auto-pay?

Yes. Subscribe with auto-pay to renew automatically each period. You can turn auto-pay off or cancel at any time from Billing, and your plan stays active until the period ends.

What happens if I buy a new plan while one is running?

Your current plan is never cut short. The new plan is queued and starts when the current one ends.

Do I get an invoice?

Yes. Every payment has an invoice you can download as an image or PDF from the Billing page.

QR code check-in

About this feature

Do I need to buy a QR scanner for my event?

No. Eventovalley's scanner runs in the web browser of any phone, tablet or laptop with a camera. Open QR Scanner, choose the event and start scanning.

What happens if a guest's QR code is scanned twice?

The second scan is flagged as already checked in, together with the guest's name and the time of the first check-in, so a pass cannot be used by two people.

Can I check in guests without a QR code?

Yes. Staff can type the guest's 6-character check-in code, or mark a guest as checked in from the guest list.

Does QR check-in work offline?

The scanner needs an internet connection to confirm each pass and prevent duplicates across multiple devices.

Guest management

How many guests can I manage per event?

The guest list is built for large events with thousands of guests. The limit for your account depends on your plan.

Can I edit a guest after they register?

Yes. You can edit name, email, phone and additional details, resend their pass, or delete them at any time.

Can I see who has not received an invitation yet?

Yes. Filter by "not emailed" to find guests who have not been invited and email them in one bulk action.

CSV import & export

Which file format do I need to import guests?

A CSV file with a header row. Save your Excel or Google Sheets file as CSV, then upload it to the event.

What columns are required?

Only a name column is required. Email, phone, company and designation are imported when present.

Will importing the same file twice create duplicates?

No. Guests whose email is already registered for the event are skipped and counted as duplicates.

Branded email invitations

Can I send event invitations from my own email address?

Yes. Connect your SMTP account (for example Gmail, Outlook, Zoho, ZeptoMail or Brevo) and invitations are sent from your address with your name.

Is the QR code included in the invitation email?

Yes. For in-person events the guest's QR code and check-in code are embedded in the email.

Can I personalise each email?

Yes. Placeholders such as {{name}}, {{date}} and {{location}} are replaced with each guest's details.

Automated reminders

When are event reminders sent?

You choose from 2 days, 1 day, 4 hours, 1 hour and 10 minutes before the start, a go-live email at the start and a thank-you after the event ends.

Will guests who registered late still get reminders?

Yes. Every guest receives the steps that are still ahead of them, and nobody receives the same step twice.

Can I change the reminder text for one event?

Yes. Each step can be edited for a single event without changing your organisation's templates.

WhatsApp messaging

Can I send the QR entry pass on WhatsApp?

Yes. Messages include the guest's personal pass link, which shows the QR code as a preview image in the chat.

Can WhatsApp messages be sent automatically?

Yes, on supported plans. Registration confirmations, reminders and check-in messages can be sent automatically through approved WhatsApp templates.

Do guests need an account to register?

No. Guests fill in a short form with their name, email and phone and receive their pass straight away.

Can people register at the venue?

Yes. Print the event's registration QR code; walk-in guests scan it with their phone and register on the spot.

Does moving a card really send an email?

Yes. Moving a guest to Invited sends their invitation email, and moving them to Checked in checks them in.

Online & hybrid events

About this feature

How do I track attendance for an online event?

Eventovalley gives each guest a personal join link. When the guest clicks it during the join window, their attendance is recorded and they are redirected to the meeting.

Do guests see the real Zoom or Google Meet link?

No. They receive their personal Eventovalley join link, and the meeting link is only handed out at the moment they join.

When does the join link start working?

It opens 30 minutes before the event starts and closes when the event ends. Earlier visitors see a countdown.

API & integrations

Can I connect my payment page to Eventovalley?

Yes. After a successful payment, send the guest's details and payment ID to the Eventovalley API and they are registered with their QR pass.

What if the same registration is sent twice?

Guests with the same payment ID, email or phone in the event are returned as duplicates instead of being created again.

What is a good event show rate?

It varies by event type. Free events often see lower show rates than paid ones; Eventovalley's reports let you compare your own events over time and see the effect of reminders.

Do online attendees count in reports?

Yes. Guests who joined through their personal join link count as attended.

Which email providers can I use?

Any SMTP provider, including Gmail, Google Workspace, Outlook / Microsoft 365, Zoho Mail, ZeptoMail and Brevo.

Can each event send from a different address?

Yes. An event can have its own SMTP settings that override the organisation's sender.
